Time settings
Where time registration, rates, locking and time approvals are set, and the rules that hold on every desk.
Who can do thisApplication Administrator
Time registration, rates, locking and time approvals are set under Application ManagementHelpdeskTime and Application ManagementHelpdeskTime approvals. Part 3 covers them step by step:
- Switching time and cost on: Setting up
- Approval rules for time: Time approvals
- Who may handle money: Who may do what
Things that hold on every desk:
- Invoiced time and every estimate are rounded up to the next quarter hour: 1 to 15 minutes becomes 15, 16 to 30 becomes 30, 31 becomes 45. Actually used time is never rounded, and an invoiced time of 0:00 stays 0:00. An estimate can never be 0.
- With Actually used time on, a technician can register 0:00 invoiced time, as long as at least 0:15 is recorded as actually used. With it off, invoiced time is always at least 0:15. Switching it off later does not touch existing 0:00 entries, and they can still be edited, but no entry can be changed to 0:00. See Register time.
- A timer paused for 12 hours is saved automatically as an entry awaiting the technician's confirmation. See Register time.
- The auto-lock rule runs in the background every few minutes, where you chose one.
- Prepaid blocks are written off 14 days after their expiry date. See Prepaid hours.
Out of the box, Track time on tickets and Put a cost on those hours are on, Actually used time and the auto-lock rule are off, and there are no time approval rules.

Time registration and cost
Switch off what this Helpdesk does not do. Nothing already registered is deleted the moment a switch is flipped, and switching back on restores every entry, rate and amount. But switching time registration off starts a countdown to deletion, shown here while it runs.
Track time on ticketsOn
Supporters register hours against tickets, with a timer. Off hides the Time panel on every ticket and everything on this page except these two switches.
Put a cost on those hoursOn
Hours carry a rate and an amount: the rate catalogue, per-customer rates, invoice preparation and money in reports. Off keeps the hours and drops the money.
Actually used timeOff
Consultants record what a job actually took next to the invoiced time. Internal only. It never changes what is billed.
