Approving or denying access requests

Approve gives a seat only: afterwards you still pick the person's role on their Access tab.

Who can do thisTenant Admin

When a member wants an app the workspace has bought but they have no seat in, they click its tile on the Launch Pad and send a request (see Requesting access to an application). The request waits for a Tenant Admin on the Subscriptions page. Approving it is a two-step job: the approval gives a seat, and you then give the role.

Where requests show up

  • The Subscriptions item in the left rail shows a badge with the number of pending requests.
  • The Overview's Needs attention card shows "One access request pending" or "N access requests pending". That item reads "Review them on the Licenses page"; access requests are now reviewed on Subscriptions, and the item takes you there.

Open Subscriptions and find the section Pending access requests near the top of the page.

PictureThe access request queue on Subscriptions. Approve gives a seat only; the typed role is just recorded on the request.

Each request shows:

  • Who asked, which product and when.
  • The person's note, in quotes, if they wrote one.
  • A Role box, filled in with the role the person asked for. You can type over it.
  • The buttons Approve and Deny.

What Approve does, and what it does not

Approve gives the person a seat in the app. It does not give them a role. The text in the Role box is only recorded on the request; it is not applied to the person. A seat without a role grants no access, so the app still refuses the person until you pick the role on their Access tab.

Approve a request, step by step

  1. In Pending access requests, read the note and check the role the person asked for.
  2. Click Approve. The request leaves the list and the person now holds a seat.
  3. Open Users & accessJonas BechAccess.
  4. In the app's row, Granted is already on and the role reads Choose a role…, outlined in the warning colour.
  5. Choose the role in Role, for example User.
  6. Click Save access.

  1. Subscriptions shows a badge with the number of pending requests. Open it.
  2. Under Pending access requests, read the note and click Approve. The Role box is only recorded on the request.
  3. The request leaves the list and Jonas now holds a seat. Next, go to Users & access.
  4. Click Jonas Bech.
  5. HR Management has a seat but no role, so Jonas still cannot use it. Open the Role list.
  6. Choose HR Manager and click Save access.
  7. Saved. Now Jonas has a seat and a role. It can take up to about 5 minutes to reach the app.
WalkthroughApproving a request is only half the job: Approve gives the seat, and you set the role on the person’s Access tab.

The person can open the app once the role has reached it, which can take up to about 5 minutes. For more on the Access tab, see Giving app access: a seat and a role.

Tip

Tell the person when you have saved the role. Until then their tile on the Launch Pad may already show the app, but the app itself will say they have no access.

Deny a request

Click Deny. The request leaves the list and no seat is given. The person can send a new request later.

Rules and messages

  • You cannot approve your own request: "You cannot approve your own request". Ask another Tenant Admin, or give yourself a seat with Get a seat on the Launch Pad (which also gives a seat only).
  • A request that someone else has already handled is refused with "Request already decided". Reload the page.
  • The approval needs a free seat. If the app has none, or its trial has ended, the server refuses in English, for example "No seats available" or "Trial expired". Add seats on this page first, see Subscriptions.
  • A member can only have one pending request per app ("You already have a pending request for this product"), and cannot ask for an app they already have a seat in.
