Requesting access to an application

Ask your administrator for a seat, and what an administrator's own "Get a seat" does and does not do.

Who can do thisMemberTenant Admin

If your workspace has bought an app but you cannot open it, its tile sits under Available to your workspace on the Launch Pad. As a member you send your administrator a request. As a Tenant Admin you can give yourself a seat straight away. In both cases you end up with a seat, and in both cases someone still has to pick your role in the app before it lets you in.

Ask for access (member)

Click the app's tile under Available to your workspace. Its line says Request access. The Request access dialog opens with the app name at the top.

PictureLeft, a member asks for access; the tile then shows Requested. Right, an administrator takes a seat at once. Neither gives a role: the role is set on the Access tab. (The dialog mentions Licenses; seats are now managed on Subscriptions. The amber note is added for this guide.)
  1. In Role, choose the role you think you need. The names are the app's own roles and are always in English, for example AMS Technician or Viewer. If you are unsure, pick the one that sounds closest; your administrator decides.
  2. Optionally, write a line in Note to your administrator (placeholder "Why you need access…"). The note can be up to 500 characters.
  3. Click Request access. The button shows Sending….

The tile now shows Requested and is disabled. Your request appears for the Tenant Admins on Subscriptions under Pending access requests, and the rail shows a count badge so they notice it. You are not notified by email; check the Launch Pad, or ask your administrator.

What happens when your request is approved

Approving a request gives you a seat in the app, and nothing more. The tile moves to Your applications, but the app still needs a role:

  • The role you chose in the dialog is only recorded on the request. It is not applied to you.
  • A Tenant Admin must open Users & accessyour nameAccess, choose your role for the app in Role and click Save access.
  • Until that is done, the app refuses you even though its tile is on your Launch Pad.

After the role is saved, it can take up to about 5 minutes before the app lets you in. If it still refuses you after that, ask your administrator to check your Access tab. The administrator's side is described in Approving or denying access requests and Giving app access: a seat and a role.

If the request is denied, the tile goes back to Request access and you can ask again.

If the request cannot be sent

  • Could not send the request.: something went wrong on the way. Try again in a moment.
  • "You already have a pending request for this product": you have asked already. Wait for your administrator.
  • "You already have a seat for this product": you hold a seat already. If the app still refuses you, you are missing a role: ask your administrator.
  • "Tenant is not entitled to this product": the workspace no longer has the app, for example because its trial or subscription ended. Reload the Launch Pad.

Server messages like these are shown in English, in the form "409 - message" (the number varies), whatever your language.

Get a seat yourself (Tenant Admin)

As a Tenant Admin you do not need to ask anyone. The same tile shows Get a seat.

  1. Click the tile. The Get a seat dialog says "You'll get a seat for app right away - you can manage it in Licenses."
  2. Click Assign to me. The button shows Assigning….
  3. The app moves to Your applications.
  4. Now give yourself a role: open the Workspace administration tile, go to Users & accessyour nameAccess, choose your role for the app in Role and click Save access.

Note two things about this dialog. First, Get a seat gives you a seat but no role, so the app will not let you in until you finish step 4. Second, the dialog mentions Licenses; seats and subscriptions are now managed on Subscriptions, and your own role on your Access tab.

If the seat cannot be given, the dialog shows Could not assign the seat. The usual reasons are that the app has no free seats left or its trial has ended.

Tip

A seat without a role grants nothing. Whenever an app tile is on your Launch Pad but the app says you have no access, look at the role on the Access tab first.
