Deactivating, reactivating and removing a user

Take access away for a while or for good, find people with filters, and export a person's data.

Who can do thisTenant Admin

When someone goes on leave or leaves the company, you either deactivate them (a pause you can undo) or remove them from the workspace. Neither deletes their Juvaro account. You can also download everything the portal holds about a person with Export data.

Find the person

Open Users & access. Use the search box Search name, email…, the chips All people, With app access and No app access, and the status list (All statuses, Active, Invited, Disabled, Inactive). The count at the right shows "X of Y" when a filter is on. The filters stay in the page address, so the browser's Back button returns you to the same filtered list.

Click the person to open their page. The buttons at the top right are Export data, Deactivate (or Reactivate) and a "…" button, More actions, that holds Remove.

Deactivate a person

  1. On the person's page, click Deactivate.
  2. The dialog Deactivate this person? says: "They lose access to this workspace until reactivated. Their data and app roles are kept."
  3. Confirm. The toast says Deactivated.

The person's status becomes Inactive, and a banner on their page says "This person is deactivated in this workspace. Reactivate them to restore access and editing." While they are deactivated, the Access and Profile tabs are locked.

Tip

Because the app roles are kept and the Access tab is locked during deactivation, change their seats first if you want to give a seat to someone else, or reactivate, change and deactivate again.

Reactivate a person

  1. Open the deactivated person's page.
  2. Click Reactivate. The toast says Reactivated.

They get their workspace access back with the app roles they had. Allow up to about 5 minutes before the apps notice.

Remove a person from the workspace

  1. On the person's page, click the "…" button (More actions) and choose Remove.
  2. The dialog Remove from workspace? says: "This revokes their access to this workspace. Their account itself is not deleted."
  3. Confirm. The toast says Removed from workspace, and the person disappears from the list.

Their Juvaro account still exists. If they belong to other workspaces, those are not affected.

Re-add a person you removed

  1. Click Add user in Users & access and invite the same email again.
  2. Because the account still exists, the portal may show the card "That account already exists". Click Give access to this workspace.
  3. Open the person and give app access again on the Access tab.

The person comes back with their existing Juvaro account and signs in as before. See Inviting a user and Giving app access: a seat and a role.

Export a person's data

Click Export data on the person's page. The portal downloads a JSON file with what it holds about the person. If it fails, the toast says Export failed; try again. People can download their own data from Account & security, see Privacy and your data.
