Inviting a user

Add user, resend an invite, reset a password, and add an account that already exists in another workspace.

Who can do thisTenant Admin

You bring a new person into the workspace from Users & access. The invitation gives them an account and the Member platform role, nothing more. To let them use an application you give them a seat and a role afterwards.

The Users & access list

Open Users & access in the left rail. The list shows everyone in the workspace, with Add user at the top right and a filter bar above the table.

PictureUsers & access. Resend invite and Reset password are English in every language.
ColumnWhat it shows
PersonName and email.
RoleThe platform role: Member, Tenant Admin or Billing contact.
App accessA chip per application the person can use. Long lists end in "N more applications"; hover it to see Also has access to. No access means no app seats.
AccessDirectory when the person is managed by directory sync (SCIM), otherwise Unknown.
StatusActive, Invited (has not signed in yet), Disabled or Inactive.
(no heading)The row action Resend invite or Reset password, see below.

Use the filter bar to narrow the list: the search box Search name, email…, the chips All people, With app access and No app access (each with a count), and the status list All statuses. The count at the right reads "N people" or "X of Y". The filters are kept in the page address, so you can bookmark or share a filtered view.

Invite a person

  1. Click Add user.
  2. The dialog Invite a member explains that the person signs in with their email and a one-time temporary password sent to that address, and joins as a member.
  3. Fill in Display name (for example "Kasper Vinther") and Work email * (for example "kasper.vinther@your-company.example"). The email is required: "A work email is required - the temporary password is sent there."
  4. Click Send invite.

The Member invited card

A card Member invited appears above the list: "Invitation emailed to kasper.vinther@your-company.example". It shows Sign in with and the Temporary password.

  • The temporary password is shown once. When you dismiss the card it is gone.
  • Copy credentials copies both lines (the button briefly says Copied!), so you can pass them on safely if the email does not arrive.
  • Dismiss closes the card.

The person now shows with the status Invited. At their first sign-in they must choose their own password before they can do anything else. See Signing in for the first time.

When the account already exists

If the email already has a Juvaro account that belongs to another workspace, you get a card titled "That account already exists" instead (English only). It explains that you can give the account access here, that the person keeps their existing password, and that nothing changes in their other workspaces.

  • Click Give access to this workspace (it says Adding… while it works) to add them, or Cancel.
  • No temporary password is created, because they already have one.

If the person is already in this workspace, the invite is refused with "That person already has access here."

Resend an invite or reset a password

Each row in the list has one action, in English only:

  • Resend invite for a person with the status Invited.
  • Reset password for everyone else.

Both create a new temporary password. The result card (Invitation resent or Password reset) says "A new temporary password was emailed to <email>. It is shown here too, once." If the email could not be sent, it says so ("The email could NOT be sent to <email> - pass this on yourself."). In both cases the person must choose a new password at their next sign-in. Click Done to close the card.

Note

People managed by directory sync have no row action: their password belongs to your identity provider, so reset it there. You cannot reset your own password here either; use Account & security. See Account & security.

Next: give app access

An invited person can sign in to the portal, but every app stays closed until you give them a seat and a role. Open the person, go to the Access tab, switch Granted on for each app, pick a role and click Save access. See Giving app access: a seat and a role.

Tip

To give the same access to many people, put them in a group with linked access instead. See Groups.
