Recording marketing consent

Record what a person agreed to, when, how, and where the proof is.

Who can do thisCRM UserCRM Administrator

Record a person's marketing consent on their contact form, in the Marketing consent section. CRM records consent; it sends no marketing itself.

Record consent

  1. Open the contact's edit page (Edit on the company page, or the name in the Contacts list).
  2. Set Marketing consent: No consent recorded, Consent given, Consent withdrawn or Consent refused.
  3. Fill in the details:
    • When consent was given, required for given consent: "A consent you cannot date, you cannot demonstrate."
    • When consent stopped, for withdrawn or refused. It cannot be earlier than the consent it withdraws.
    • What they agreed to: a pick list when the workspace has consent purposes, otherwise free text.
    • How it was captured: A form they submitted, By email, Recorded verbally, A clause in a signed document, or Asserted by an imported system.
    • Pointer to the proof: where the evidence is, such as a form submission id or a document reference.
  4. Click Save changes.

When CRM questions the consent

  • This consent has nothing behind it: purpose, method or proof is missing. Press save again, or Save anyway, to record it as it stands.
  • The customer master will refuse this: the combination is invalid, for example a withdrawal with no date. Fix it first.
  • A wording that is not on the workspace's purposes list is refused. Pick one of the offered wordings, or ask an administrator to add it.

Retention

The Retention section has Keep this record until: "A decision you are recording, not a deadline anything enforces. Nothing in the suite deletes on this date." Administrators see who is past that date in Consent purposes, retention and the lapsed review.

The consent chip on the company page shows the state: green for given, orange for withdrawn, red for refused, grey for none.
