Finding and merging duplicate companies

Compare two records side by side and merge one away. There is no undo.

Who can do thisCRM Administrator

When the same company has been recorded twice, merge one record into the other. One record survives; the other becomes a redirect to it. There is no undo, so CRM makes you compare the two first.

1/7On the company page, click Find duplicates.

  1. On the company page, click Find duplicates.
  2. Possible duplicates lists records that look like this company, and why. Click Compare.
  3. Side by side shows both records. Nothing is marked as lost until you choose a survivor.
  4. Choose which record disappears. The table now says what is replaced and what is lost.
  5. Read what stops being readable and who moves across, then confirm.
  6. The merge is done. The contacts moved to the surviving company.
  7. An old link to the merged record now shows a redirect page, in CRM and in every product that mirrors it.

Merge two companies

  1. Open the company you want to check and click Find duplicates.
  2. Possible duplicates lists records that look like this one, each with a strength (near-certain, likely or weak - check it) and the reasons: same CVR, almost the same name, same email domain. Click Compare on one.
  3. Side by side shows the two records field by field. Under Which record disappears?, choose "Keep X. Y disappears." There is no default.
  4. The table now says, per field, what is replaced and what is lost. Click Merge Y away….
  5. Read the confirmation: the values that stop being readable, the people who move across, and what happens to the CVR and any parent link. Click Yes - merge Y away permanently.
  6. The merge is done shows how many contacts moved. Click Open the surviving account.
PictureComparing before a merge. Anything only the disappearing record holds stops being readable.

What moves and what does not

  • Contacts move to the survivor, archived ones too. If both companies have a primary contact, the survivor keeps its own.
  • Companies that sit under the disappearing record move across.
  • Nothing else is copied. A value only the disappearing record holds, such as a phone number, stops being readable.
  • The CVR stays on the disappearing record and can never be given to the survivor afterwards. If the CVR matters, keep the record that holds it.
  • A parent link on the disappearing record is removed; the survivor keeps its own parent.

When a merge is refused

  • "The record chosen to survive is archived. Restore it first, or keep the other one instead."
  • "One of these records sits above the other in the account hierarchy, so merging them would make a company its own parent."
  • "That record was already merged into another one, so it cannot be merged again."

After the merge

An old link to the merged record opens "This company was merged into another record" with a button to the survivor. Helpdesk and AMS follow the same redirect. See What other products see when you merge or archive.
