Your role in CRM
CRM User, CRM Administrator and Tenant Administrator, and what each one can do.
What you can do in CRM depends on your role in the workspace. Your role shows under your name in the top bar; when you have more than one, the highest is shown.
The roles
| Shown as | Given in the Tenant Portal as | What it is for |
|---|---|---|
| CRM User | CRM, role User | Everyday work: companies, contacts, activities, deals, leads, quotes, orders, subscriptions, tasks and imports. |
| CRM Administrator | CRM, role Application Administrator | Everything a CRM User does, plus Management, merging duplicates, taking a deal out of the forecast, and deleting other people's activities and tasks. |
| Tenant Administrator | The workspace administrator | Counts as a CRM Administrator in CRM. |
| Member | No CRM role | Signed in, but CRM refuses the data. See below. |
What only administrators can do
- Open Management: custom fields, consent, sales processes, lead sources, the catalogue and commercial settings.
- Find and merge duplicate companies.
- Take a deal out of the forecast, or put it back.
- Delete an activity someone else wrote, and change or delete a task that is neither theirs nor for them.
Typing the address of an administrator page without the role shows "You do not have access to this page".
No CRM role
Someone with no CRM role still sees the full sidebar. Each page then shows its own load error, because the server refuses the data. The Dashboard says No CRM role. This is how CRM looks before access is granted; see Giving people access.
When a role changes
The server checks your role on every request, so a new role works almost at once for what you load. The sidebar and the role under your name follow when your sign-in refreshes, which can take up to about an hour. Sign out and in to see it sooner.
