Adding an employee

Use the Add employee dialog, with generated initials and email and a searchable manager picker.

Who can do thisHR Administrator

The Employees page is the employee directory. HR administrators see every column, can search, filter on custom fields and open each person. Managers see a read-only roster instead; see Your reporting line and the employee roster.

PictureThe employee directory. Status is shown in lowercase ("leave" means on leave), and Account says whether a sign-in account is linked.

The table shows Name, Employee #, Email, Job title, Department, Status and Account, plus any custom fields set to show in lists. The Status column shows the status in lowercase: "active", "leave" (on leave) or "terminated". Account is "Linked" or "None".

Add an employee

  1. On Employees, click Add employee.
  2. Enter First name and Last name. HCM fills Initials and Email from the name, following Identity generation. You can overwrite both.
  3. If your workspace has more than one verified domain, choose the Email domain.
  4. Enter the Employee number, Job title and Department.
  5. Click Manager and search by name or employee number. Leave it on "No manager" for the top of the chart.
  6. Set Employment start. It cannot be changed later.
  7. Fill in Linked account only if the person already has a Juvaro sign-in account; otherwise leave it blank.
  8. Click Save.

Fields in the dialog

FieldNotes
EmailFilled from the name until you type in it. The domain must be one of your verified SSO domains. With no verified domain, you see "Add & verify a domain in Settings → SSO to auto-fill the email." and type the address yourself.
InitialsPlaceholder "Generated from the name". Must be unique in the workspace.
StatusActive, On leave or Terminated.
ManagerShows "First Last (employee #)". The list leaves out anyone who would create a reporting loop.
Linked accountThe person's Juvaro user id, a long code. Leave it blank for an employee without a sign-in account.
SensitiveNational ID, Bank IBAN and Bank BIC/SWIFT. Readable only by HR and the employee.
Custom fieldsShown only if your workspace has defined any. See Custom fields and access classes.

After Save

If the Tenant Portal switch "Provision accounts on hire" is on, HCM also creates or links a sign-in account and shows the result:

  • Account created with a Username and a Temporary password. "Share this with the employee now - it won't be shown again." Copy it before you click Done.
  • "Linked to an existing workspace account." when the email matched someone already in the workspace.
  • A warning when the account could not be made. The employee is still created. See Sign-in accounts and provisioning.

Common refusals: "These initials are already in use - please adjust.", "This email is already used by another employee - please choose another." and "An employee with number '1042' already exists." All messages are in Validation and error messages.
