Your role in HCM

Employee, HR Manager or HR Administrator: what each role sees, and why one role has three names.

HCM has three roles. An administrator gives them in the Tenant Portal, together with an HCM seat. A person holds one HCM role, and the highest one counts.

RoleWhat it gives
EmployeeMy Leave and My Documents: your own balances, requests and documents.
HR ManagerEverything an Employee has, plus Approvals, Team and the read-only employee roster.
HR AdministratorEverything, including employee records, history, documents and all of Settings.

One role, three names

The top role is spelled differently depending on where you look. It is the same role every time.

HCM Approvals, as an approverHR administrator

The manager role is "HR Manager" in the Tenant Portal and the profile menu, but just "Manager" in the Approver column. When you write an approval rule for a role, you type the role's approval code; see Approval rules and routing to managers.

Good to know

  • A workspace admin is not an HR administrator. The Tenant Admin role alone gives no HCM access. The profile menu says "Tenant Admin", the rail shows only My Leave and My Documents, and both say You don't have access. Give yourself an HCM role to get in.
  • Managers cannot open employee records. They see a roster with name, department and whether an account is linked. History, documents, salary and other people's balances are for HR administrators.
  • Employees cannot see their own approval chain. Opening a request shows the status, but the timeline area answers with "You don't have access". See Cancelling a leave request.
  • A role is not a link to a person. To request leave, your sign-in account must also be linked to an employee record. Otherwise My Leave says "No employee record - contact HR".
  • Access follows the role. It does not depend on an HCM seat.

The full table is in Roles and permissions. To give a role, see Granting HCM access.
