Leave types

Tracked and untracked types, Requires approval, colour, and archiving.

Who can do thisHR Administrator

A leave type is a kind of absence your employees can request, such as vacation, sick leave or a child's sick day. A new workspace has none, so create at least one before anyone can request leave.

PictureThe leave type list. Sick leave is untracked and needs no approval, so it never blocks and is approved on submit.

Add a leave type

  1. Open SettingsLeave types and click Add leave type.
  2. Enter a Name and a Code. Pick a Color; it is used for the dot beside the type and for the chips on the team calendar.
  3. Decide whether the type is tracked (see below) and set Annual allowance (days).
  4. Leave Requires approval on, or turn it off for types that need no decision.
  5. Optionally set up accrual, or apply a Policy template.
  6. Click Save.

Untracked suits sick leave: it is recorded and appears on the team calendar, but never runs out.

Requires approval

  • On: the request goes through your approval rules. Without a matching rule it is refused with "No approval route configured for leave requests." See Set up leave approval first.
  • Off: the request is approved the moment it is sent. The employee sees "approved" and "This request was auto-approved - no approval chain to show."

Archive a type

Click Archive on the row. The type disappears from the request form, but existing requests and balances stay. Restore brings it back.

New-type defaults

A new type starts with colour #5b48c7 (violet), 20 days, Requires approval on, tracked, and no accrual: all days are available from 1 January and must be used by 31 December. To change that, see Accrual and holiday years and Country policy templates.
