Editing an employee record
What you can change in the Edit dialog, what only changes through History, and the Sensitive section.
Who can do thisHR Administrator
Click a name on Employees to open the employee record. It shows the core details, the sensitive fields, custom fields, the person's leave statements and their documents.
Edit the record
- Click Edit on the record, or Edit on the person's row in the Employees table.
- Change what you need, then click Save.

|---|---|
| First name, last name, email, employee number, status, linked account, the Sensitive fields, custom fields | Job title, department and manager (change them through History), and employment start (set once, at creation) |
The dialog says why: "Job title, department and manager change through History below, with the date each change takes effect. Employment start is set when the employee is created." See Recording a change in History.
The Sensitive section
- National ID, Bank IBAN and Bank BIC/SWIFT can be read by HR administrators and by the employee. Managers never see them. Only HR administrators can change them.
- If your role cannot read them, the section shows "🔒 Restricted" and "Your role can't view or change this employee's national ID or bank details. Saving this form leaves them untouched."
- HCM checks the format: "That doesn't look like a valid IBAN - check it for a typo." and "A BIC/SWIFT code is 8 or 11 characters (e.g. DABADKKK)."
- Every read and change of these fields is logged. See Field audit.
Link or unlink a sign-in account
Linked account holds the person's Juvaro user id, a long code, not their email. Leave it empty for someone who never signs in. A field with only spaces is refused with "Must not be blank - leave empty for no account." One account can be linked to only one employee: "That sign-in account is already linked to another employee."
Terminate someone
Set Status to Terminated and save. There is no termination process with an end date, and direct reports are not moved. Pick new managers for them through History. If HCM manages access, the person also loses their workspace membership; see HCM as identity source.
A few messages use technical wording, for example "departmentId does not exist for this tenant." (the chosen department no longer exists) or "Unknown status 'retired'." (the status is not Active, On leave or Terminated). Reload the page and try again.
