- Open Approvals. A ready step from Sofie Kjær waits in Your inbox. Click the row.
- Check the details: 3.5 working days, and 12.67 days left if you approve.
- Optionally write a note.
- Click Approve. HCM checks the balance once more before it accepts the decision.
- The step has left your inbox. Sofie's request is now approved and its days are used.
Decide a request
- Open Approvals and click the row under Your inbox.
- Read the leave details: Employee, Leave type, Dates, Working days and, for a tracked type, Balance if approved.
- Optionally type a Note (optional).
- Click Approve (green) or Reject (red text).
The decision is saved at once. The employee sees the new status the next time they open My Leave; HCM sends no message.
Read the details
- Dates are shown as year-month-day, for example "2026-11-23 - 2026-11-27".
- Working days already leaves out weekends and holidays.
- Balance if approved is what the employee would have left, for example "11.5 days". It is not shown for untracked types.
- If the details cannot be loaded: "Leave details for this request aren't available right now - the decision bar and timeline below are still accurate." You can still decide.
The approval timeline
Under the decision bar, each step of the chain is a box with its name, the approver, a coloured dot for its status and who decided it. A box can also say "· escalated" (the step waited longer than the rule's Escalate days) or "2 approvals needed" for a quorum. Skipped steps are faded.
When an approval is refused
"The leave balance no longer covers this request." HCM checks the balance again when you approve, counting all approved leave plus this request. If the employee has had other leave approved since they asked, the request may no longer fit. It stays pending. Talk to the employee: they can cancel it and ask for fewer days, or you can reject it.
After you decide
- If there are more steps, the next one becomes "ready" for its approver.
- When the last step is approved, the request is "approved" and its days are used.
- A rejection ends the chain. The request is "rejected" and its reserved days are free again.
