Granting HCM access
HCM roles are given in the Tenant Portal, and a workspace admin role alone does not open HCM.
Who can do thisTenant Admin
HCM has no access screen of its own. Roles are given in the Juvaro Tenant Portal, and HCM reads them when the person signs in.
Give someone an HCM role
- In the Tenant Portal, open Users & access and open the person.
- Under Application access, give them an HCM seat and choose a role: Application Administrator, HR Manager or Employee.
- Save.
- A seat with no role gives no access. The Tenant Portal says so: "Pick a role for each app you've given a seat - a seat with no role grants no access."
- The role names come from the product list and stay in English in every language.
- HCM is self-service in the Tenant Portal, with 5 trial seats. The price is kr 120 per seat.
How the roles map
| Tenant Portal role | HCM profile menu |
|---|---|
| Application Administrator | HR Administrator |
| HR Manager | HR Manager |
| Employee | Employee |
Tenant Admin is not enough
The workspace's own Tenant Admin role does not open HCM. A Tenant Admin with no HCM role sees "Tenant Admin" in the profile menu, only My Leave and My Documents in the rail, and You don't have access on both. If you run the workspace and also do HR, give yourself the Application Administrator role for HCM as well.
A role and an employee record are two things
The role decides which pages a person can open. To request leave, the person's sign-in account must also be linked to their employee record, either through Linked account on the record or automatically when HCM creates the account. See Editing an employee record and Sign-in accounts and provisioning.
A role change can take up to about 5 minutes to reach HCM. Signing out and in again does not speed it up.
- Access follows the role: a person with an HCM role can use HCM even without a seat.
- When an employee is terminated and HCM manages access, HCM removes their workspace membership, but it does not free the seat. See HCM as identity source.
