Import data
Bulk-load assets, contacts, locations, vendors or stock items from a CSV or XLSX file, with a full preview first.
Data import bulk-loads records from a spreadsheet. You download a template, fill it in (or export from your old system), and the wizard shows a full preview, with every row marked create, update or error, before anything is written.

Import a file
- Open AdministrationData import and click Start import, or click Import on the Assets page.
- Under What to import, pick Assets, Contacts, Locations, Vendors or Stock items.
- Download the template: a workbook with the columns, instructions and valid values built from your live register. Open What each column accepts to see each column's rules on screen.
- Choose your file: XLSX or CSV. Nothing is written yet.
- Read the preview: "6 rows: 4 to create · 1 to update · 1 with errors", then each row with #, Action, Key and Detail. Columns that are not part of the template are listed as ignored.
- Click Import N rows. Rows with errors are left out.
The result reads, for example, "Import finished: 4 created · 1 updated · 0 failed." Re-importing the same file is safe: matched rows become updates.
How rows are matched
| Import | Matched by |
|---|---|
| Assets | Asset tag. Unknown models, locations and vendors are created automatically. |
| Contacts | Name |
| Locations | Name. A parent may be another row in the same file. |
| Vendors | Name |
| Stock items | SKU |
Limits and formats
- At most 1,000 rows and 10 MB per file. A full 1,000-row sheet is well under 1 MB. For bigger loads, split the file, or connect a device-management or REST source (Intune, Jamf, REST JSON) in the Integration Hub.
- Write dates as ISO dates (2026-10-18). Numbers may use a decimal comma: 1,5 is read as one and a half.
- Column names are matched loosely, so an export from another system usually works.
What the Detail column can say
| Detail | What to do |
|---|---|
| Unknown asset type | Use a type that exists, or create it first. |
| Required value missing / Invalid value | Fill in or correct the cell. |
| Not a declared lifecycle state | Use one of the type's stages. |
| Duplicate in this file | The same key appears twice. Keep one row. |
| Matches more than one existing record | The key is ambiguous. Make it unique. |
| Parent location not found / Parent chain loops | Fix the Parent column. |
| Customer not found | Create the customer first. |
| This tag belongs to an asset in Deleted assets | Restore that asset or delete it permanently first. See Deleted assets. |
| This tag belongs to a disposed or returned asset, so it cannot be reused | Use another tag. |
| No matching person / Email matches several people | The row imports unassigned. Assign it afterwards. |
| Will be created | A model, location or vendor in the row is new and will be added. |
| Managed in Tenant Management / Cell ignored on update | That cell is not changed. No action needed. |
Exports go the other way: see Reports and Activity.
