Asset types

Set up the types your assets belong to: tag prefix, tracking mode, defaults and policies.

Every asset belongs to an asset type, such as Laptop, Monitor or Vehicle. The type sets the tag prefix, what the unit's identifier is called, the custom fields, the lifecycle stages and the defaults for new assets.

Start from the seeded types

A new workspace starts with 31 types, each with a lifecycle flow and optional fields that suit it. Rename, change or delete any of them. The list is in Seeded asset types and lifecycle flows.

Create or edit a type

  1. Open AdministrationAsset types.
  2. Click New asset type, or click a type to edit it.
  3. Fill in the tabs below, then click Save.

A type can only be used for assets once it has at least one model. See Models.

General

FieldWhat it does
NameWhat everyone sees, for example Laptop.
KeyA stable identifier for the type.
ID labelWhat the unit's identifier is called: Serial number, IMEI, VIN, Asset number.
Tag prefixThe first part of generated asset tags, for example LAP.
Expected life (months)Drives depreciation and replacement prompts.
Colour / tintThe type's colour in the register.
Tracking modeserialized (one unit per serial, usually issued to a person), fixed (held by a location), bookable (lent out through reservations) or bulk (kept by quantity).

Custom fields and Lifecycle

See Custom fields and Lifecycle stages and transition rules.

Defaults & policy

SectionWhat it sets
Defaults for new assetsDefault location, Default vendor, Default ownership and Default currency, filled in on the New asset form.
DepreciationEnable straight-line depreciation, with Salvage value and Useful life (months). Assets of the type then show a Depreciation card.
WarrantyWarranty months: a new asset of this type gets a warranty of that length automatically.
PM checksPreventive maintenance. Add PM check, with Type, Interval (months) and First due (days offset). New assets get these checks, and a due check raises a work order.
Automations"Auto-create an assigned Work Order when a selected alert category opens (once per open episode)": Alert categories, Default assignee and Work order severity.
ReservationsReservations need approving: a reservation of this type waits until someone other than the person asking approves it. Off by default. See Reservations.
SecurityTrack security posture: assets of this type get a Security & compliance card. Off by default. See Security and compliance record.
Tag numbering has no effect

The tab may show a Tag numbering section. It does not change how tags are made today. Tags are generated as prefix, manufacturer and a random part; see Create an asset.

Delete a type

Click Delete on the type and confirm. AMS refuses while something still uses the type, and says what:

  • "This type still has models. Remove or move them first, then delete the type."
  • "A budget is set for this type. Remove the budget first."
  • "An automation rule targets this type. Change or delete the rule first."
  • "An onboarding or offboarding step provisions this type. Update the package first."
