Assign and take back an asset

Give an asset to a person, a contact or a team, or set it back to unassigned.

An asset is assigned to a person, a contact or a team, or to nobody. Assigning is how AMS knows who holds what.

Assign from the asset

  1. Open the asset and click Edit.
  2. Click Assigned to. The Assign this asset picker opens, with the columns Name, Type and Department (more under Columns: Email, Assets held, Customer) and filters for type and department.
  3. Search, pick the person, contact or team, and click Select.
  4. Click Save.

Assign from a person or a team

  1. Open the person's profile from Users, or a team from AdministrationTeams.
  2. Click Assign asset.
  3. In Assign an asset, use Choose an asset to pick one. Only free assets are offered; with none free it says "No assets are free to assign."
PictureAssign asset on a profile lists only assets that are free to assign. Pick one, click Select, then confirm with Assign asset.

Take an asset back

  1. Open the asset and click Edit.
  2. Click Assigned to and choose Set to unassigned.
  3. Click Save.

When someone leaves, an offboarding run collects everything they hold in one go; its asset steps read "Collect, back to pool". See Onboarding and offboarding runs.

Assignment and the lifecycle

Some stages care about assignment. In the seeded Personal flow, In use requires an assignee, and In stock and Retired require the asset to be unassigned. So the usual order is:

  • handing out: assign the person, then change the state to In use;
  • taking back: set to unassigned, then change the state to In stock.

See Change the lifecycle state.

Nobody to pick?

"Nobody to assign yet" means there are no people yet. Add a contact on the Users page first. See People and the Users page.
