The Approvals queue

Decide disposal, return and reservation requests, and see what approving does to bookings.

With Four-eyes approvals on, three kinds of request wait for a second Application Administrator: disposals, returns to a lessor, and reservations of a type that needs approving. Approvals in the side menu collects them.

PictureThe queue shows what approving does to bookings before you decide. Your own requests read Your request: someone else decides them.

Decide a request

  1. Open Approvals. The count line says how many are pending. Filter with Pending, Decided or All.
  2. Read the row: the asset and its tag, the status chip, the kind (Request disposal, Request return or Request reservation), who asked and when, their reason, their proposal, and what approving does to bookings.
  3. Click Approve or Reject.

You can also decide a disposal or return from the banner on the asset page. A decided request shows Decided by and when.

What approving does

RequestApproveReject
Request disposalThe asset is archived as disposed of, with a Disposal card. Its future reservations are cancelled and pending reservation requests rejected.Nothing changes; the asset stays as it is.
Request returnThe asset is archived as returned to its lessor, with the same booking clean-up.Nothing changes.
Request reservationThe reservation becomes Confirmed. The reservation becomes Cancelled.

The booking impact line

Before you approve a disposal or return, the row tells you what happens to the asset's reservations:

  • "2 future reservations will be cancelled."
  • "On loan until 21 Oct 2026: cannot approve yet. It must be received back first." Approve is unavailable until someone uses Confirm received on the reservation.
  • "Overdue since ‹date›: cannot approve yet." or "On loan with no end date: cannot approve yet." mean the same: get the asset back first.

Rules

  • You never decide your own request. Your rows say Your request instead of buttons, and trying anyway gives "You can't approve your own request."
  • A request someone else just decided gives "This request has already been decided."
  • Only the person who asked can cancel a pending request (Cancel request on the asset page).
  • With Four-eyes approvals off, there is no queue: disposals and returns happen at once, and Approvals leaves the menu.

The requests themselves are described in Dispose of or return an asset and Reservations.
