Create an asset

Add an asset from the top bar, the asset list or a model page, and let AMS generate its tag.

Every asset starts with a type and a model. AMS generates the asset tag for you, so in most cases you only pick those two and save.

1/6Click + New asset in the top bar (or on the Assets page).

  1. Click + New asset in the top bar (or on the Assets page).
  2. In the dialog, click Type. The Choose an asset type picker opens; pick Laptop.
  3. Click Model and pick Lenovo ThinkPad T14 Gen 5. Only models of the chosen type are offered.
  4. Leave Asset tag blank: it is generated automatically when you save.
  5. Click Save.
  6. The asset is in the list with its new tag, LAP-LENOVO-P4VX7KQ2MT, in the first stage of its lifecycle.
WalkthroughCreating an asset: pick a type, then a model, leave Asset tag blank and save. AMS writes the tag for you.

Create an asset

  1. Click New asset in the top bar, or on the Assets page.
  2. Click Type and pick the asset type in the Choose an asset type picker.
  3. Click Model and pick the model in Choose a model. Until a type is chosen, the model field says to select a type first.
  4. Leave Asset tag blank. Its hint says it is generated automatically.
  5. Fill in what you know on the three tabs (below). Everything except type and model is optional.
  6. Click Save. The asset appears in the list.

From a model page, Add unit opens the same form with the type and model filled in. To load many assets at once, see Import data.

The tabs

Assignment & status

  • Type and Model: chosen once, when the asset is created.
  • Asset tag: leave blank for a generated tag, or type your own. A tag you type is kept as typed.
  • Serial / identifier: the serial number, IMEI or VIN; the type decides what it is called.
  • Status: the first lifecycle stage, chosen from the type's stages. Only on a new asset; later you use Change state.
  • Ownership: Owned, Leased in or Leased out.
  • Rentable: "This asset can be reserved". Tick it for loan equipment; only rentable assets can be booked. Off by default.
  • Assigned to: a person, a contact or a team. See Assign and take back an asset.
  • Location: picked from your locations, or No location.
  • Customer: only with Customers (MSP) on.

Financial

  • Value and Currency: DKK, EUR, USD, SEK, NOK or GBP.
  • Vendor: the picker shows Your vendors and Suggested ones. Picking a suggestion asks "‹name› is not in your vendor list yet. Add it?"; Add vendor adds it.
  • Purchase date and Lease ends.

Details

The type's unit-level custom fields, grouped by section. The tab only appears when the type has such fields. See Custom fields.

How tags are generated

A generated tag has three parts: the type's tag prefix, the manufacturer, and ten random characters, for example LAP-LENOVO-K7M2QX9BTF. The random part never uses 0, O, 1, I or L, so a tag read aloud or copied by hand is not misread.

  • A tag must be unique. A tag held by an asset in Deleted assets is refused: "An asset with this tag is in Deleted assets. An administrator can restore it or delete it permanently."
  • A tag of a disposed or returned asset can never be reused: "An asset with this tag has been disposed of or returned, so the tag cannot be reused. Use another tag."
  • Forgetting the type or model gives "Pick an asset type." or "Pick a model."
Defaults save typing

A type can fill in location, vendor, ownership and currency for every new asset, start a warranty and add PM checks. See Asset types.
