Software licences and seats

Track licences and subscriptions, assign seats to people and spot over-allocation.

Software tracks licences and subscriptions: how many seats you pay for, who holds them, what they cost and when they renew.

Add software

  1. Open Software and click New software.
  2. Fill in Name and Kind (subscription, perpetual, cloud, open source or other).
  3. Pick the Billing model: per seat (with Cost per seat / year) or flat monthly (with Monthly cost), and the Currency.
  4. Set Seats licensed, Vendor, Owner, Acquired, Renews and Notes.
  5. Click Save.

Renews raises a Software renewal alert ahead of the date, 60 days by default.

Assign and release seats

  1. Open the software and click Assign seat.
  2. In Assign a seat, use Choose a person. People who already hold a seat are left out.

Release on a seat row frees it. From a person's profile, Assign software does the same the other way round.

  5. Freja has left, so click Release on her row.
  6. Her seat is free again: 24/25.
WalkthroughSeats on a software entry. Assigning beyond Seats licensed is allowed, but the entry then shows Over-allocated.

Over-allocation

Assigning more seats than you licensed is allowed. The page then shows "Over-allocated: 12 seats assigned, 10 licensed." and an Over-allocated chip, so you know to buy more or release some.

The list's Annual cost rolls per-seat entries up over the seats you licensed, not the seats in use.
