Onboarding and offboarding runs
Start a run from a person's profile, work through its steps and sign it off.
Onboarding and offboarding runs hand equipment, seats and tasks to a new person, or collect everything back from someone leaving. Each run is a checklist of steps; completing a step is what performs its action.
1/8On the new starter's profile, click Start onboarding.
- On the new starter's profile, click Start onboarding.
- Pick the Package. The Preview shows the unit, the seat and the task the run will contain. Click Create run.
- The run is Open with three pending steps, each with an assignee and a due date.
- Jonas creates the account, then clicks Done on the task.
- Done on the laptop step hands the unit over to Oliver.
- Done on the software step assigns his Microsoft 365 seat.
- All steps are closed, so the run is Awaiting sign-off. Signe Mortensen, an Application Administrator, clicks Sign off.
- The run is Completed. The laptop has been under Assigned assets since its step was done.
Start onboarding
- Open the person's profile from Users and click Start onboarding.
- Pick the Package. The Preview shows exactly what the run will contain, including gaps such as "No available unit" or "All seats in use".
- Click Create run.
With no packages yet, the picker says to create one under Administration. See Onboarding packages.
Start offboarding
- Open the person's profile and click Start offboarding.
- Review the checklist AMS derives from what the person holds: seats are released (Release seat), owned assets go back to the pool (Collect, back to pool), and lease-covered assets raise a return request with the lessor (Raise return request).
- Click Create run.
Work the steps
- Done performs the step: hands over the asset, assigns or releases the seat, or closes the task.
- For an asset hand-over, Pick a unit chooses which available unit of the type to hand over. Check its stage before handing it over.
- Skip closes a step without doing it. A note is required: "Why is this step being skipped?"
A run is Open while steps are pending, then Awaiting sign-off, then Completed. An Application Administrator clicks Sign off to complete it. With Flow sign-off off, the run completes when its last step closes.
Cancel a run
Click Cancel run and, optionally, add a note. Cancelling closes the run without completing it. Steps already done are not reversed: assets stay handed over and seats stay assigned. Only the person who started the run, or a manager, can cancel it.
The Flows page
Flows in the side menu lists every run with Person, Direction, Package, Status, Progress, Overdue and Started. A person can have one active run at a time. Overdue steps raise a Flow steps alert and count on the Dashboard.
