Locations, vendors and teams
Keep the registers assets point to: where they are, who supplied them and which team holds them.
Assets point to three registers: where they are (Locations), who supplied them (Vendors) and which team holds them (Teams). All three are cards under Administration.
Locations
- Open AdministrationLocations and click New location.
- Enter the Name, pick the Kind (site, building, room or bin) and, optionally, the Parent, to build a tree such as Copenhagen HQ › Floor 3 › Room 3.12.
- Click Save.
Vendors
- Open AdministrationVendors and click New vendor.
- Enter the Name, the Roles (Manufacturer, Reseller, Service), the Category, the status (approved, pending review, on hold or inactive) and the Contact.
- Click Save. A second vendor with the same name is refused: "A vendor with this name already exists".
A vendor's page has the cards Identity, Commercial terms (payment terms, account number, contract reference and dates), SLA, review & insurance (Next review, a Rating from 1 to 5, insurance reference and expiry) and Contacts. Spend this year adds up purchases, lease payments and software; work-order costs are not included. Lists below show the vendor's assets, software, leases as lessor and stock items.
When you pick a vendor on an asset, the picker also shows Suggested vendors. Choosing one asks "‹name› is not in your vendor list yet. Add it?"; Add vendor adds it.
Teams
Teams and their members come from Tenant Management, so the Teams register is read-only in AMS. Open AdministrationTeams, click a team, and you see its Members and the Assets held by this team. Assign asset gives the team an asset; Manage in Tenant Management opens the team there. Teams need the Teams feature switch.
Who can do thisApplication Administrator
Everyone can read the registers. Creating and editing locations, vendors and contacts needs an Application Administrator.
