Dispose of or return an asset
Ask for an asset to be disposed of or returned to its lessor, and see what happens on approval.
When an asset leaves for good, you dispose of it (sold, donated, recycled or destroyed) or, for a leased-in asset, return it to the lessor. With Four-eyes approvals on, a second Application Administrator approves the request first.
1/5Jonas, a technician, opens the laptop and clicks Request disposal.
- Jonas, a technician, opens the laptop and clicks Request disposal.
- He gives a reason, picks the method Recycled, fills in the recipient and certificate, and clicks Submit request.
- A banner says the disposal is requested and awaiting approval. Jonas can still cancel his own request.
- Kasper, a different Application Administrator, opens the asset and clicks Approve on the banner (or in Approvals).
- The asset is archived: "This asset was disposed of", with the Disposal card recording method, dates, who asked and who approved.
Request a disposal
- Open the asset and click Request disposal. For a leased-in asset, click Request return instead.
- Give a Reason (required).
- Pick the Disposal method: Sold, Donated, Recycled or Destroyed. For a return it is fixed to Returned to lessor.
- Fill in the Recipient; on a return the lessor is filled in for you.
- For Sold only: Sale price and Currency.
- Add a Certificate reference, for example a recycling or data-destruction certificate, and Notes.
- Click Submit request.
An amber banner says the disposal is requested and awaiting approval. You can withdraw it with Cancel request.
Approval
A different Application Administrator approves or rejects it, from the banner on the asset or from Approvals. Before approving, they see what happens to the asset's bookings. See The Approvals queue.
- Nobody approves their own request.
- Only one request can be pending per asset: "A request is already pending for this asset."
- An asset out on an active reservation must come back first: "This asset is out on an active reservation. It must be received back before it can be disposed of or returned."
After approval
- The asset is archived. A green banner reads "This asset was disposed of" (or "returned").
- The Disposal card records Method, Disposed, Requested by, Approved by, Recipient, Sale price, Certificate reference and Notes.
- Its future reservations are cancelled and pending reservation requests rejected. It can no longer be reserved or deleted.
- Its tag can never be used again.
With Four-eyes approvals off
The buttons read Dispose asset… and Return asset…. The same form opens, and confirming archives the asset immediately: "This archives the asset immediately."
Dispose, retire or delete?
