Your role in Asset Management
The five roles in AMS, what each can do, and how they appear in the Account menu.
Everyone who uses AMS holds one AMS role. The role decides what you can see and change. A Tenant Admin grants it in the Tenant Portal; nobody grants roles inside AMS itself.
The five roles
| Role | In short |
|---|---|
| Viewer | Reads every register, the Dashboard, Activity and support cases. Changes nothing, except dismissing alerts. |
| Technician | Does the hands-on work: reservations, work orders, stock movements, warranties, attachments, security records, onboarding steps. Asks for disposals and returns, and moves mistakes to Deleted assets. |
| Auditor | Runs compliance checks and audits, on top of reading everything. |
| Application Administrator | Runs AMS: creates and edits assets and registers, changes lifecycle states, imports, approves requests, restores from Deleted assets, and configures everything under Administration. |
| Tenant Admin | The workspace administrator. Can do everything an Application Administrator can, in every product. |
The roles stack: a Tenant Admin can do everything an Application Administrator can, and an Application Administrator can do everything a Technician and an Auditor can. A Technician and an Auditor can each do everything a Viewer can. Someone with no AMS role cannot open AMS.
Role names in the Account menu
The Tenant Portal and AMS show the role names slightly differently:
- In the Tenant Portal, where access is granted, it is called Application Administrator.
- In AMS's own Account menu (top right), your role is shown as AMS Manager. The other roles show as AMS Technician, AMS Auditor and AMS Viewer, and a Tenant Admin sees Tenant Admin.
AMS Manager and Application Administrator are the same role. These articles use Application Administrator.
Things only some roles see
- New asset in the top bar, Import, and the Approvals and Administration menu items appear for Application Administrators only.
- The Change state control on an asset page appears for Application Administrators only.
- Nobody approves their own request. A disposal, return or reservation request waits for a different Application Administrator, as long as Four-eyes approvals is on.
The full list of actions is in the Roles matrix. To grant a role, see Grant access.
After a Tenant Admin changes your role, it can take up to five minutes before AMS acts on it. If a button you expect is still missing, wait a few minutes and reload the page.
