Budgets and groups
Create budget groups, set an annual budget or no limit, name an approver, and add members.
A budget group decides three things for its members: how much they may spend a year, which products they see on the shelf, and who decides their Manager step. Groups are made and filled here in Flexshop. Open SHOPBudgets & groups.
Create a group
- Press New group. The drawer New budget group opens.
- Type the Group name. The name identifies the group, so it cannot be changed after you save.
- Type an Annual budget, or tick No budget limit ("For a group that only sets a shelf or an approver. Its requests never get a Finance step because of budget.").
- Choose an Approver, or leave it on Nobody. The approver is who the Manager step goes to when HR Management does not name a line manager.
- Press Save.
Add and remove members
- Click the number in the People column. The drawer Members of {group} opens.
- Under Person to add, choose a person and press Add. Remove takes someone out.
A person can be in only one group: "That person is already in {group}. Take them out of that group first."
The table
- Per year can be edited in place: click it, type, and press Enter or leave the field to save. Escape puts the old value back.
- Spent is a bar with "{n}% used": sage under 75%, amber from 75%, rose when over. Spent counts the approved requests submitted in the current budget year; it is always calculated from the requests.
- Left turns rose and negative when the group is over.
- Manager step goes to is the group's approver, or "Nobody named".
- Total allocated adds up the groups with a limit.
Over budget, and people in no group
- Going over budget is allowed. It adds a Finance step to the request; it never blocks it.
- People in no group see only products shown to every employee, and no budget limit applies to what they request. The card People without a budget says how many there are.
Delete a group
Delete is in the group's edit drawer. "Only a group with nobody in it can be deleted." Otherwise: "This group still has {n} members, so nothing was deleted. Take them out of it first."
The switch Budgets are enforced is drawn on and locked: "Always on for now: a request over its budget gets a Finance step. Switching budgets off is not built yet." There are no per-person allowances either.
