What is Flexshop?

Flexshop lets employees ask for work equipment, sends the request to the right approvers, and helps the shop order, take back and resell it.

Flexshop is the Juvaro shop for work equipment. An employee picks a laptop, a phone or a headset, says why they need it, and sends the request. Flexshop works out who has to approve it, keeps track of the budget, and helps the shop administrators order the kit, take old devices back and sell them on second-hand.

The admin console has the Flexshop tile on the Launch Pad. The employee portal has no tile of its own: you reach it from the console's rail (Employee portal), from the link in an approval email, or from the address your administrator gives you.

What Flexshop keeps, and what it does not

  • Flexshop keeps its own catalogue (the Storefront), requests, budget groups, approval rules, returns and marketplace listings.
  • Flexshop is not an asset register. It has no people directory and no inventory report. Asset Management stays the system of record for assets, but the connection between the two is not available yet, so nothing flows between them today. See Asset Management: what is and is not connected.
  • Flexshop orders from one vendor only: Webmercs. Everything else is ordered by hand and recorded in Flexshop.

The life of a request

  1. The employee adds items to the basket and presses Submit request. See Send a request.
  2. The approval rules build a chain of steps. Each step waits for the right person. See Approval flows.
  3. When the last step approves, the request is Approved. An Application Administrator orders it, either from Webmercs or by hand. See Order an approved request.
  4. The employee follows the order and presses Confirm that it arrived when it comes. Only then is the request Delivered. See Confirm that your kit arrived.

Where to start

Two risks to know about

A second-hand device with the button Buy it is bought on the first click, with no confirmation. And with Allow vendor ordering on, the admin's Order from Webmercs places a real order that Flexshop cannot cancel. Both are explained in Buy second-hand on the Marketplace and Order an approved request.
