Webmercs vendor ordering: the two switches

Allow vendor ordering and automatic sending, what each combination does, and the risk of real orders.

Flexshop can place orders at Webmercs through the Webmercs connection in Integration Hub. Two switches on the Vendor ordering card on Integrations decide whether and when. Both are off in a new workspace.

The two switches

  • Allow vendor ordering: the master switch. While it is off, nothing is ever sent to Webmercs.
  • Send each approved request to Webmercs automatically: sends an order the moment the last approval lands.

A third switch, Do not let Webmercs send its order confirmation email, stops Webmercs' own email, which goes to the company's Webmercs administrator with a copy to the employee's sign-in email.

What each combination does

MasterAutomaticCard stateWhat happens
OffOffOff"Nothing is sent to Webmercs. Approved requests are ordered by hand from the Requests screen."
OffOnNot live yetStill nothing is sent. Switching the master on would start sending real orders at once.
OnOffLive from the Order buttonAn admin's Order from Webmercs sends a real order, after a confirmation. Nothing is sent automatically. Every request now needs a delivery address and a contact.
OnOnLive"From the next approval, each approved request is sent to Webmercs as a real order straight away, and the Order button sends too." This includes requests that are approved automatically when they are sent.

The risk: real orders

With the master switch on, Order means buy

Once Allow vendor ordering is on, the admin's Order from Webmercs places a real order on your company's Webmercs account, for delivery to the address on the request. Flexshop cannot cancel it once Webmercs has it. With automatic sending on as well, the last approval places the order with no further click. Switch these on only when the Webmercs connection, the campaign, the delivery addresses and the approval rules are ready.

Every widening of the switches asks first:

  • Master on: Let the Order button send real orders to Webmercs? with Allow real orders.
  • Automatic on: Start sending real orders to Webmercs? "From the next approval, each approved request that is ready for the vendor is sent to Webmercs as a real order straight away, with no further step." with Start sending orders.

Going live, step by step

  1. A Workspace Administrator sets up the Webmercs connection and the campaign in Integration Hub (Open Integration Hub).
  2. Check that your Storefront products carry vendor product numbers; see The Webmercs catalogue and Bought before.
  3. Add a company delivery address, or allow private addresses; see Delivery addresses and private addresses.
  4. Switch on Allow vendor ordering and try one real order with Order from Webmercs.
  5. Only then, if you want it, switch on automatic sending.

A request that cannot go to Webmercs (no vendor product number, a second-hand device, no delivery address) waits on Requests to be recorded as ordered by hand. See Order an approved request.
