Who approves: roles and the Manager step
What each step role resolves to, how the Manager step finds one person, and the Finance step for over-budget requests.
Each step in an approval chain names a role. When the request reaches that step, Flexshop works out who may decide it. The side cards on Approval flows show the answer: Who each role resolves to and How the Manager step resolves.
Who each role resolves to
| Step | Who decides | Where they decide |
|---|---|---|
| Auto-approve | Nobody, the request goes straight through. | None |
| Supporter | Everyone holding the Flexshop supporter role (Shop Supporter). The first to decide settles the step. | Employee portal, Approvals |
| Manager | One person per request; see below. | Employee portal, Approvals |
| Finance | Everyone holding the Flexshop finance role (Finance Approver). | Employee portal, Approvals |
| Shop admin | Everyone holding the Flexshop admin role (Application Administrator). | Admin console or employee portal |
Every holder of the role is emailed when a step waits on them. Nobody may decide their own request, and planning never creates a step only the requester could take.
How the Manager step resolves
"Not every customer runs an HCM, so the Manager role has two sources. Flexshop tries them in order."
- The employee's line manager, from HR Management. Needs the HR Management connection; see HR Management: line managers for Manager steps.
- The approver named on their group. Set in Budgets; see Budgets and groups.
- If neither resolves: the Fallback approver you choose on this card. It saves at once ("Saved"). A new workspace has no fallback approver.
The decision drawer says which source found the person, for example "Resolved from the {group} group's named approver." or "Resolved to the default approver from Approval flows, because neither HCM nor the group named one."
The Finance step for over-budget requests
When a request goes over the requester's group budget at the moment it is sent, Flexshop adds a Finance step to its chain, whatever the rule says. The employee sees "This request was over your budget, so it also needs Finance approval." A group with No budget limit never gets this step.
In the Danish apps the steps are called Automatisk godkendelse, Supporter, Leder, Økonomi and Butiksadministrator. The over-budget step is called "Finans-trin" in a few console sentences; it is the same Økonomi step.
