Decide a request in the console

The decision drawer: the budget card, the approval chain, your reason, and Approve or Decline.

Click a request on Requests or on the Overview, and it opens in the decision drawer on the right. There is no separate request page in the console.

PictureThe decision drawer. There is no separate request page in the console: a request always opens in this drawer.

What the drawer shows

  • The header: the reference, the first item, the requester, when it was raised, and a chip: "Step n of m" (amber) while pending, then Approved, Declined or Cancelled.
  • The budget card: "{amount} left after this request" or "Over budget by {amount}", the group's position before this request, and a bar: spent, this request, of the annual budget. "No budget limit applies to this requester." when there is none.
  • The lines and the Total. These are snapshots from when the request was sent; a later price change never rewrites them.
  • Deliver to: the company address or the employee's private address, and the delivery contact.
  • Approval chain: the rule that built it and each step with its state (Waiting, Ready to decide, Approved, Declined, Not reached), who it is with ("With {name}") and where the person came from, for example "Resolved from the requester's line manager in HCM."

Decide

  1. Read the budget card and the chain.
  2. Write Your reason. While the policy Every decision needs a reason is on, it is required, and the requester sees it.
  3. Press Approve or Decline.

When your approval is the last one, the Approve button tells you what happens next:

  • Approve and send to vendor: both vendor switches are on, so approving sends a real order to Webmercs at once.
  • Approve and order: vendor ordering is switched off, so approving also records the request as ordered by hand. Nothing is sent to Webmercs; you order it yourself outside Flexshop.
  • Approve: Allow vendor ordering is on but automatic sending is off. The request becomes Approved and still needs ordering. See Order an approved request.

When you cannot decide

The drawer turns read-only and says why:

  • "This step is not yours to decide. It is waiting on {role}." A Supporter or Finance step needs that role, even for an Application Administrator.
  • "You cannot decide your own request."
  • "The requester cancelled this request, so no decision is waiting."

There is no "More actions" menu, and an admin cannot mark a request delivered: only the employee confirms delivery.

No answer?

"We did not get an answer in time. The decision may have been saved and sent to the vendor." The list reloads. Open the request again and check it before you press anything twice.
