Decide a request in the portal

Open the request, read why it was asked for, write a reason, and Approve or Decline.

Open a request from Approvals in the portal, or from the link in your email. The approval page shows what was asked for and why, and where you decide.

  1. Oliver got an email that a request is waiting. In the portal, Approvals has appeared in the masthead with an amber 3. He opens it.
  2. Waiting for your approval lists the requests where his decision is the next step, oldest first. He opens FS-00042.
  3. He reads why Maja asked, what she asked for, the total and what is left of her budget. The Supporter has already approved.
  4. He writes a reason. The policy Every decision needs a reason is on, and Maja will see what he writes.
  5. Yours is the last approval this request needs. He presses Approve.
  6. Saved: You approved FS-00042. The request is now Approved and waits to be ordered. The count drops to 2.

Decide

  1. Read Why they asked and What they asked for, the total and the budget left after. If the request is over budget: "This request is over the budget, so Finance approves it too."
  2. Check the Approval timeline and the delivery line ("Delivery: {label}").
  3. Under Your decision, write a Reason ("Why you decided this way"). While the policy is on it is required: "A reason is required." The requester sees it.
  4. Press Approve or Decline.

Saved: "You approved {reference}." or "You declined {reference}." When yours is the last approval the request needs, the page says so first: "Yours is the last approval this request needs."

What happens after the last approval

The request becomes Approved, and the requester is told if your company sends that email. If your company has switched on automatic sending to Webmercs, the last approval also sends a real order to Webmercs. The approval page does not tell you this; it happens on the shop's side.

When the page will not let you decide

  • "This request is not waiting on you." The step is someone else's, or another holder of the role decided first.
  • "You have decided this request. Nothing here is waiting on you now."
  • "This request is closed: it was approved." / "it was declined." / "the requester cancelled it."
  • "Your decision could not be saved." Press Reload and try again.
  • "We did not get an answer in time. Your decision may have been saved." The page reloads; check before you decide again.

You never decide your own request; see You cannot approve your own request.
