Follow a vendor order
The Vendor order card: its states, the tracking phases, Retry, Mark as ordered and an unknown outcome.
Once a request has gone to Webmercs, its drawer gets a Vendor order card. It shows the state of the order, the vendor's order number and, once Webmercs reports it, the tracking.
The order state
| State | Means |
|---|---|
| Sending | Flexshop is sending it right now. |
| Sent to vendor | Webmercs took it. "Vendor order number {id}". |
| Vendor order failed | Webmercs refused it, and nothing was created there. |
| Outcome unknown | No clear answer came back. Webmercs may have the order. |
Tracking
The card shows the tracking phase: Received by the vendor, Being processed by the vendor, Shipped, Cancelled by the vendor or Status not recognised, with the vendor's own word ("Vendor status: {status}"), "Shipped {when}", "Tracking number {number}" and the link Track the parcel. "Checked with the vendor {when}" says how fresh it is. See Delivery tracking from Webmercs.
If the vendor cancels: "The vendor cancelled this order. Check the vendor's shop and tell the requester."
When an order failed or the outcome is unknown
- Retry sends the order again. After an unknown outcome you must first tick "I have checked the vendor's shop and this order is not there". This stops the same items being ordered twice.
- Mark as ordered records it as ordered when you find the order in the Webmercs shop, or when you placed it yourself.
- With vendor ordering switched off, Retry is not offered: "Vendor ordering is switched off, so this order cannot be sent again. Mark it as ordered if you placed it yourself."
If two people order the same request at the same time, one attempt wins. The other may say: "Another attempt took this order over, so nothing was recorded from this one. If the vendor received it, it may now hold a second order: check the vendor's shop." Check the Webmercs shop and cancel the extra order there.
Every shop admin gets an email when an order to Webmercs needs a look. This email always sends; see Notifications.
